How we handle money and records.

Understand where payments go, who can access records, and how your association can take its records with it.

Common Parcel does not hold HOA funds.

When online payments are enabled, owners pay through the association’s connected Stripe account. Stripe processes the payment and pays out to the association’s bank account.

Different roles, different access

Residents
Access their approved lots, their own account information, and the association information shared with them.
Board officers
Work with association records and tasks according to their assigned roles.
Support staff
Use separate support access that records their activity. Support staff cannot approve actions on behalf of your board.

Review before an important action

Where a workflow requires a second officer’s approval, that review must be completed before proceeding. Common Parcel cannot sign for an officer, and support staff cannot supply the board’s approval.

Review the requirements for the specific action. A recorded approval is not proof that a legal notice was served.

A record of important activity

Approvals, exports, and administrative support access create records showing who took the action and what happened. These records help the board review what happened.

The activity history does not represent a log of every ordinary page view.

Take your association’s records with you

Board officers can export association records, including ledgers, governing documents, minutes, and available activity records. The download includes a report listing what was exported, whether it finished, and any errors.
